RaceID Protection Refund Terms 

RaceID Protection is a booking protection service offered by RaceID that may provide a refund if a participant is unable to attend due to certain unforeseen circumstances, as outlined in this article.

Eligibility for a Refund


You may qualify for a refund if you are unable to attend your RaceID powered event, below are the primary reasons that qualify for a refund. Note that terms and conditions as well as our own discretion apply on top of this. Necessary supporting evidence of e.g. injury is required.

Qualifying Circumstances for a Refund (Subject to Our General Conditions):

  • Illness
  • Injury 
  • Pre-existing Medical Condition
  • Pregnancy Complication
  • Death of Immediate Family
  • Public Transportation failure that prevents you from reaching the event location 
  • Adverse Weather
  • Home Emergency
  • Theft of Documents
  • Workplace Redundancy
  • Jury Service
  • Court Summons
  • Armed Forces & Emergency Services Recall
  • Relocation for Work
  • Changes to Examination Dates

If your RaceID event  is canceled or rescheduled by the Organizer, you should reach out to our customer service team directly at support@raceid.com. RaceID Protection does not cover this specific instance, but is subject to the organisers terms and conditions for the race event.

Additional Emergency Circumstances may be reviewed on a case-by-case basis at our discretion.

General Conditions of Refund

  • Refund requests are assessed at our sole discretion.
  • The reason for requesting a refund must not have been foreseeable when the RaceID event booking  was made.
  • Refunds will not be provided for mistaken RaceID event bookings , or if the RaceID event booking  is simply no longer needed or wanted.
  • If your RaceID event booking  is canceled or rescheduled by the Organizer , please contact our customer service team for guidance.
  • You must make reasonable efforts to Attend your Booking, including arranging transportation, necessary documentation, and allowing sufficient travel time.
  • We reserve the right to request additional evidence to support your refund request, including proof of intent to Attend.
  • Additional evidence of inability to attend your RaceID event may be requested at our discretion.
  • Supporting evidence must be supplied digitally, 
  •  Refunds will be sent out via the same method as was used at the time of booking/payment.
  • The maximum refundable amount per transaction is €1000 USD (or the local currency equivalent).
  • If a refund application is initially declined due to an incorrect reason being submitted, we may allow a revised application for reconsideration.

Submitting a Refund Request

To initiate a refund request, click on the link in your Booking Confirmation email or here: LINK TO FORM . Refund applications must be submitted within 30 days of the Booking date.


Qualifying Reasons for Refund & Required Evidence

Illness / Injury

  • Definition:
    • A medical condition or injury affecting you, someone in your Immediate Household, or a person in the Group scheduled to Attend the RaceID event Booking.
  • Exclusions:
    • Situations where no evidence is provided linking the affected person to the Booking.
    • Conditions that are long-term, unpredictable, or impact an event more than two months in the future.
  • Required Evidence:
    • A Doctor’s Note or Medical Certificate confirming:
      • Nature of illness or injury.
      • Date of occurrence.
      • That it prevents Attendance.
      • Proof of relationship (if the affected individual is not included in the RaceID event Booking).

Exclusions (Non-Refundable Circumstances)

Refunds will not be provided in cases involving:

  • General hesitation or reluctance to travel or attend an event.
  • Any Communicable Disease outside the scope of Illness/Injury provisions.
  • Events affected by natural disasters, wars, strikes, industrial actions, cyber-related disruptions, or government sanctions.
  • Visa denials, citizenship procedures, fertility treatments, or routine appointments.
  • RaceID event Bookings made from restricted regions, including China, Cuba, Iran, North Korea, Russia, Sudan, or Syria.
  • Situations where another entity (e.g., travel insurance provider) is responsible for compensation.
  • Refund requests submitted more than 12 months after the original Booking date.

In the event that the RaceID event is cancelled by the Organizer the organizer policy for refunds due to cancellation applies. 


Key Definitions

  • “We/Us/Our”: Refers to Raced and/or our authorized refund service provider.
  • “You/Your”: The individual who made the Booking.
  • “Armed Forces”: Any branch of Naval, Marine, Army, or Air Force services.
  • “Attend”: To physically participate in or be present at the Booking.
  • “Booking”: The pre-registered race, event, or service booked through Raced.
  • “Communicable Disease”: A condition declared an emergency by an official health authority.
  • “Doctor”: A registered medical practitioner, excluding yourself or an immediate family member.
  • “Emergency Services”: Includes police, fire, ambulance, or equivalent authorities.
  • “Immediate Family”: Spouse, partner, parent, child, sibling, grandparent, or step-relative.
  • “Immediate Household”: Individuals residing together in a shared living arrangement with mutual support obligations.
  • “Paying Party”: Any entity legally liable for financial compensation for the Booking failure.
  • “Provider”: The event organizer or company responsible for the Booking.

IMPORTANT NOTICE

This service is not an insurance policy. It is an optional feature provided by RaceID that offers a refund under specific conditions as outlined in this document. Approval of refund requests remains at our discretion. In the event of any discrepancies in translated versions, the English-language version shall prevail.
